Here are our thoughts on cancellations:
  1. We are customer-centric and prefer to never charge a client for cancellation
  2. We realize children get sick or occasionally there are last minute sports practices; if the client gives us as much notice as possible, we prefer not to charge.
  3. We are also tutor-centric and try to keep our coaches whole – so we will pay them for “no shows” and unreasonably late cancellations. When we pay the tutor, we will typically charge the client.
  4. We hope our tutors will be forgiving of occasional late cancellations; however if they feel the client is not respecting the tutor’s time, they should draw that to our attention.
  5. In the case of frequent or unreasonable cancellations (e.g. we think it is unreasonable to cancel a tutor at late notice because the child has no homework), we will charge the client.
  6. Late notice typically means less than three or four hours in case of illness or unexpected schedule conflicts. Normal notice for foreseeable events would be 24 hours.
  7. If a client does not want to commit to a regular schedule, we will advise the coach not to hold a slot open for the client.
HomeworkCoach believes students with ADHD especially benefit from consistency. Establishing and sticking to routines is part of building executive function skills.  If the parents push responsibility for scheduling down to their student, explain to the parent that this is probably a mistake. A child with ADHD will be more likely to cancel an appointment. Let us know if this is a problem you are facing, we will be happy to talk to the parent about this.
A final note on Zoom/Online cancellations.
Kids with ADHD find it easy to blow off a zoom lesson, one reason we are not big fans of virtual coaching. If you have an online session scheduled, please always text ahead of time to get confirmation, and if the child still fails to show up, we will probably pay you and charge the client.  But we reserve the right to pay less for a zoom cancellation, because you have not driven anywhere. But of course it is inconvenient for you, and parents need to know they will be charged for disrespecting their coach’s time.
